This Privacy Policy explains how TechProfuse.ai (“TechProfuse”, “we”, “us”, or “our”) collects, uses, discloses, and protects information in connection with our products and services, including but not limited to the services and sites operated under the brands CallVibe and GrahamBell and our AI Voice Agent offerings (collectively the “Services”). For the purposes of clarity, this policy covers TechProfuse’s global operations and Services offered through or under the names CallVibe and GrahamBell.ai. By using our Services or otherwise providing us personal information, you agree to the terms of this Privacy Policy.

1. Controller / Processor role

For standard website visits, self-serve signups, marketing, and direct communications, TechProfuse acts as the data controller (we decide why and how personal data is processed). For enterprise customers that provide TechProfuse with communications or call data to be processed on the customer’s behalf, TechProfuse will typically act as a processor/service provider under the applicable contract (including any Data Processing Addendum, “DPA”) and applicable law. Where a DPA or other contractual terms apply, those terms will control to the extent they conflict with this Privacy Policy.

2. Information we collect

We collect the following categories of information:

A. Personal information you provide

  • Contact details (name, job title, company, email, phone)

  • Billing and payment information (when you purchase Services)

  • Postal address and other profile information you submit

  • Any information included in support requests, forms, or communications

B. Communications & voice data

  • Call audio recordings, transcripts, speech-to-text output, call metadata (timestamps, duration, participants, call IDs), interaction logs, AI-generated summaries, sentiment or score outputs.

  • Customers must obtain any required notices and consents from call participants before providing Communications Data to TechProfuse.

C. Usage, device & diagnostics

  • IP address, browser and device type/version, operating system, pages visited, timestamped usage logs, unique device identifiers, and other diagnostic data.

D. Location data

  • Approximate location when granted by the device or browser; we do not collect precise GPS location unless you enable a feature that requires it.

E. Cookies & tracking

  • Session cookies, preference cookies, security cookies, analytics and advertising cookies, web beacons, and similar technologies. See the Cookies section below for details.

F. Sensitive personal data

  • We do not intentionally collect sensitive categories of personal data (e.g., health, race, religious beliefs) except where explicitly requested by you and with your explicit consent or where strictly necessary to provide a Service.

3. How we use information

We use personal information to:

  • Provide, operate, maintain and improve the Services (including transcription, analytics, agent coaching, and integrations);

  • Process payments, manage subscriptions and billing;

  • Communicate with you about products, updates, notices, and support;

  • Detect, prevent, and respond to fraud, abuse, and security incidents;

  • Personalize your experience and measure marketing effectiveness;

  • Aggregate and de-identify data to develop, train and improve models and Services (see AI & model training below); and

  • Comply with legal obligations and enforce our agreements.

Transactional communications (account, billing, security notices) are necessary for the Services and cannot be opted out of. Marketing communications can be unsubscribed using the link in such messages.

4. AI, model use, and Communications Data

We may use aggregated, de-identified Communications Data (call audio, transcripts, and derived metadata) to analyze performance, improve product features, and refine our AI models provided such data cannot reasonably be used to identify an individual or a specific customer. For enterprise accounts where customers supply Communications Data under a DPA, model-training use will be governed by that DPA.

Google Workspace APIs and model training. We do not use data obtained via customers’ Google Workspace APIs to train generalized AI/ML models unless we have the customer’s explicit contractual authorization to do so. If your integration or contract permits different handling, the applicable agreement will control.

5. Cookies & tracking technologies

Disabling cookies may limit or break certain functionality. We honor Global Privacy Control (GPC) signals where required by law.

  • Analytics/advertising cookies (to measure and personalize marketing)

6. Retention and deletion

We retain personal information only as long as necessary to fulfill the purposes described in this policy, to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by data type and customer configuration; enterprise customers may set retention rules via their agreement or DPA. When feasible, we anonymize or delete data that is no longer needed.

7. International transfers & safeguards

TechProfuse operates internationally. Personal data may be transferred to and processed in the United States, India, and other jurisdictions where our service providers operate. Where required by law, we implement appropriate safeguards such as Standard Contractual Clauses (SCCs), the UK IDTA, or other approved mechanisms to protect international transfers.

We implement administrative, technical, and physical safeguards designed to protect personal data consistent with industry standards (for example SOC 2 practices where implemented). No system is impenetrable; while we strive to protect your data, we cannot guarantee absolute security. In the event of a security incident affecting personal data, we will notify affected parties and regulators as required by applicable law.

11. Email & other communications

We may send transactional and marketing messages. Transactional messages (billing, account, security) are required to provide the Services and cannot be unsubscribed.
